Fundraising System

The expertise and “wish lists” of experienced successful major donor managers were incorporated in the Major Gifts Module to ensure that it will provide everything you need to save time, stay focused, and master the art of managing a Major Donor program.

Database

Major donor and regular membership data are stored in a single database. This integration with the Fundraising system will allow full access to the segmentation, reporting, and data analysis capabilities and provide user-defined triggers to upgrade donors to Major Donor status.

A security administrator directory is used to limit access of individual users or types of users. Limits can be set for areas, specific functions and features. Each major donor representative has their own address book to access their major donor accounts, task manager, templates, and calendar.

Account Look-up and Contact Information

  • The Address Book finds the record as you type the name in the search window.
  • The search page displays basic information:
    • contact info
    • all people on the account
    • photos and captions
    • club level (manually assigned)
    • actual level
  • The major donor accounts are also searchable in the Fundraising system by:
    • name
    • address
    • member #
    • zip code
    • telephone number
    • company name
    • email
    • children's name
    • affiliation/name
    • a user-defined field
  • Club levels, goals, and Action Plans are assigned in the Account screen.
  • An unlimited number of email addresses and URL’s can be stored.
  • Multiple addresses and phone numbers are stored with date ranges for automatic seasonal address changes.
  • A list of the contact history (with access to the details) and the rep. assigned to the account are also displayed.

Giving History

  • A detailed giving history is displayed on 3 "tabbed" screens.
  • An Account Giving History tab displays giving history summaries. A pull-down menu is used to access the giving history summary of each of the donor's accounts. A color-coded bar graph illustrates annual and additional gift totals by year.
  • A Combined Giving History tab shows a color-coded summary of the combined giving history of all accounts belonging to the donor. Each of the donor's accounts is summarized on one line. A bar graph in corresponding colors illustrates the combined giving totals by year.
  • A Detailed Account History tab displays a detailed history of pledges, payments, and premiums. A pull-down men gives access to each of the donor’s accounts to view pledge, payment, and premium details. Payment and Premium details of the highlighted Pledge are displayed.

Relationship Information

  • A "Relationships" button displays a list of everyone "related" (i.e. mother, cousin, college roommate) to the primary person on the account.
  • Each name on the list can be clicked to see everyone related to them.

Bio Information

  • Detailed searchable biographical data is stored on the multi-tabbed Prospect Research screen.
  • Tabs organize the data into categories.
  • Bio data can be used for targeted appeals such as special event invitations and, program promotions.
    • For example if a major donor rep. obtains 10 books on horse breeding, she can send them to major donors or prospects with an interest in horses.

Action Plans Contact Management

Action Plans, containing “to do’s”, phone calls, letters, and emails, automate the assigning and scheduling of follow-up tasks allowing the ongoing personalized contact required for a successful Major Donor program.

  • Users can customize the action plans found in the Action Plan Library or create their own.
  • Date calculators automatically schedule each task when the plan is assigned to a contact.
  • A library of letter and email templates with mail merge fields are used in the action plans generating ready-to-print or send letters in Today's Business.
  • The templates also make it possible to create and print personalized letters on the fly with just a few mouse clicks.

Calendar and Today's Business

The tasks generated by the Action Plans and items on the built-in appointment calendar are compiled and organized by the Today’s Business feature.

  • Tasks are organized into categories and can be viewed by date range.
  • "System Events" are tasks generated automatically when triggered by Fundraising System functions.
  • Items on the list can be viewed, prioritized, or modified.
  • Letters, emails and labels are created by pre-determined templates and are ready to toggle through, edit, and print/send with a few mouse clicks.
  • A summary of tasks in each category can be printed and taken along to do between appointments.
  • Assistants can access and perform their assigned tasks.

Contact History

A complete history of all contacts, including calls, letters, emails, meetings, etc. is stored in each account.

  • Once tasks on an account's Action Plan are marked as completed, they are stored in the donor’s record.
  • Items can be sorted by date range, status, and type.
  • The donor's Action Plan can be updated by changing or adding tasks.
  • Letters and emails sent to the donor can be viewed and reprinted.

Reporting

Integration with the Fundraising System allows full access to the segmentation, reporting and data analysis capabilities.

  • A "Cultivation Schedule" report summarizes prospect and follow up activities by date, by club level, and by account rep.
  • A "Major Donor Activity" report summarizes the number of activities completed or scheduled by date and by type (calls, letters, emails, etc.).
  • An "Income By Rep." report can be used to track individual and department performance.

Planned Features

PDA synchronization will provide exceptionally convenient access to the calendar, address & phone book, as well as the list of scheduled calls, and follow-up customer service tasks in Today's Business.
